Job Description

PURPOSE OF THE JOB

The purpose of this job is to provide confidential executive-level support to the executive leadership, managing and coordinating the administrative functions of their positions from both a tactical and strategic perspective.

RESPONSIBILITIES/DUTIES

  • Manage and prioritize executive calendars on a daily basis, including scheduling and coordinating meeting requests that require executive attendance, booking conference rooms for such meetings, etc.
  • Work closely with a variety of departments within the organization, tracking weekly reports to ensure the delivery of executive's regular communications rhythms
  • Handle daily telephone inquiries, including customer service complaints routed to the Executive office
  • Executive travel management (arranging travel, developing itineraries, booking transportation, arranging lodging, etc.)
  • Coordinate and prepare materials and presentations (Quarterly Board Meeting material, quarterly Town Hall presentations, etc.)
  • Gather and distribute sensitive, confidential information as needed
  • Additional duties as assigned.

MINIMUM REQUIREMENTS & SPECIAL ATTRIBUTES

  • Bachelor's Degree (or 4 years of equivalent work experience), preferably in Business, Public Relations, Marketing, Advertising, or related field
  • 5 years of relevant work experience (in addition to degree or years of previous experience)
  • 3 years of experience providing administrative assistance to an executive or senior leader
  • 2 years of experience presenting information (and responding to questions from) groups of managers, vendors, customers, and the general public.
  • Skilled proficiency with the Microsoft suite (Microsoft Word, Microsoft Excel, and Microsoft PowerPoint)
  • Skilled proficiency working in a travel site, such as Concur or Axiom; or a consumer travel site such as Expedia.
  • Skilled proficiency in a financial management or enterprise performance management system such as PeopleSoft, Verian, etc.
  • Skilled ability to proofread message, checking grammar, flow of message, etc.
  • Intermediate ability to read, analyze and interpret general business information, professional journals, technical procedures, or governmental regulations.
  • Intermediate proficiency with basic math, with the ability to calculate figures and amounts such as discounts, interest, commissions, percentages.

Pay Rate: $60,000- $75,000/yr depending on background and experience.
